How to track UPI, advance and cash-on-delivery payments for food orders

The short answer

Keep payment as its own status on every order, separate from where the order is in the kitchen: unpaid, part paid or paid. Record the amount when it arrives, not at the end of the week. Then one look tells you what is ready to go out and whether it has been paid for. AdugeOps tracks payment this way on every order, on its Free plan.

Why "did they pay?" is so hard to answer

Payments arrive in a different place from orders. The order is in a chat, the money is in a UPI app, and the proof is a screenshot in another chat. Matching the three by memory is where mistakes happen.

Advances make it harder. A custom cake with 50% paid up front is neither paid nor unpaid, and the balance is easy to forget on delivery day.

Three statuses are enough

  1. Unpaid

Nothing received yet. Normal for cash on delivery until it is delivered.

  2. Part paid

An advance has come in. Note the amount, so the balance is obvious.

  3. Paid

The full amount has been received.

Keep payment separate from the order stage

An order can be Ready and unpaid, or Confirmed and fully paid. If you track only one status, you lose half the picture. Two columns, stage and payment, answer the two questions you actually ask: what do I need to make, and who still owes me?

Habits that prevent most payment mix-ups

  1. 1

    Record it when it arrives

The moment the UPI message comes in, mark the order. Do not batch it for the evening.

  2. 2

Write the amount, not just "paid"

Especially for advances. "₹600 of ₹1,240" leaves no doubt about the balance.

  3. 3

    Check before it leaves

Make "is it paid?" part of packing, unless the order is cash on delivery.

  4. 4

Look at unpaid orders once a day

A short list every evening is easier than an awkward message two weeks later.

How AdugeOps tracks payments

Every order carries a payment status of pending, part paid or paid, next to its stage. You record a payment against the order when it comes in, and unpaid orders stand out on the board.

For orders from a Shopify store, an order paid online arrives already marked paid, and a cash-on-delivery order arrives as unpaid.

AdugeOps records payments; it does not collect them. Your customers keep paying you by UPI, cash or your store’s checkout. Shopify store sync is included on every plan and is rolling out to invited kitchens first.

Common questions

Does AdugeOps collect payments or send payment links?

No. It records what you have received so you can see what is outstanding. Customers pay you the way they do today.

Can I record an advance and the balance separately?

Yes. An order can be part paid, with the amount received recorded, and then marked paid when the balance comes in.

How do cash-on-delivery orders show up?

As unpaid until you record the payment. A cash-on-delivery order from a connected Shopify store arrives as a new, unpaid order.

Is payment tracking on the free plan?

Yes. The Free plan is ₹0 for up to 100 orders a month and one user. Master Chef is ₹399 a month, billed yearly at ₹3,999, for up to 500 orders a month and two users.
